Terms of Service
Effective date: 20 October 2026. These Terms of Service ("Terms") are an agreement between you and Trophio Limited ("Trophio", "we", "us"), a company incorporated in Hong Kong. They apply when you use the Trophio app (the "App") or the website at trophio.app (the "Site"), together called the "Service". By creating an account or using the Service, you agree to these Terms and to our Privacy Policy. If you do not agree, please do not use the Service.
1. What Trophio is
Trophio helps insurance and financial professionals keep track of their business: scanning and logging expenses, recording income, linking spending to clients and campaigns, following production goals, and exporting records.
Trophio is a software tool. We are not an accounting firm, law firm, tax adviser or financial adviser. Nothing in the Service is accounting, tax, legal or financial advice, and we do not prepare or file tax returns for you.
2. Your account
- You must be at least 18 years old to use Trophio.
- You can sign up with an email and password, or with Apple or Google, whichever the App offers at the time.
- Give us accurate information and keep it up to date.
- Keep your login details and your device secure. You are responsible for activity under your account. Tell us promptly at support@trophio.app if you think someone else has accessed it.
- An account is for one person. Please do not share it.
3. Free and Pro plans
Trophio has a Free plan and a paid Pro plan. What each plan includes, including any monthly scan allowance on the Free plan, is shown in the App. We may change plan features from time to time, and we will not reduce what you have already paid for during your current subscription period.
Pro is billed once a year. The price, currency and billing period are shown to you before you confirm your purchase.
Founding member rate
Early Pro subscribers may be offered a Founding member rate for a limited number of places. The Founding rate applies for as long as your Pro subscription stays active without a break. If your subscription ends, or you delete your account, you may lose the Founding rate and your place.
4. Subscriptions, renewal and cancellation
- Payment. Subscriptions bought in the App are charged to your Apple ID or Google Play account when you confirm the purchase.
- Automatic renewal. Your subscription renews automatically for another year at the then-current price unless you cancel at least 24 hours before the end of the current period. Your account is charged for renewal within 24 hours before the period ends.
- Managing and cancelling. You can manage or cancel your subscription at any time in your App Store account settings (Settings → your name → Subscriptions) or in Google Play (Payments & subscriptions → Subscriptions). Cancelling stops the next renewal. You keep Pro until the end of the period you have paid for.
- Free trials. If we offer a free trial, it converts to a paid subscription at the end unless you cancel at least 24 hours before it ends. A free trial is limited to one per person and device, and any unused part ends when you buy a subscription.
- Restoring purchases. You can restore a purchase on a new device using "Restore Purchases" in the App.
- Refunds. Purchases are handled by Apple or Google, so refund requests go to them under their policies. Except where the law says otherwise, we do not give refunds for the unused part of a subscription period.
- Price changes. If we change the price of Pro, we will tell you in advance as Apple or Google requires. The new price applies from your next renewal, and you can cancel before then.
5. Referrals
You can invite colleagues with your personal invitation code. When a colleague becomes a paying annual member using your code, we may add bonus months to your membership, as described in the App. Bonus months have no cash value and cannot be transferred. We may withhold or reverse them for abuse such as self-referrals, fake accounts or misleading promotion, and we may change or end the referral programme with reasonable notice.
6. Your content
- You own it. You keep all rights to the records, receipt photos, client names, notes and other content you put into Trophio ("Your Content").
- What you allow us to do. You give us a limited licence to store, process and display Your Content only as needed to run the Service for you, including sending receipt images to AI providers to read them. We do not sell Your Content or use it to train AI models.
- Your responsibility. You are responsible for Your Content. Make sure you have the right to record any information about clients or other people that you enter, and that you use it lawfully.
- Your records and backups. Keep your own copy of anything important. Use the export features regularly. You are responsible for keeping the business and tax records the law requires of you.
7. Accuracy and your responsibilities
Receipt scanning uses AI and can make mistakes. Check every result before you rely on it. Figures, charts, ROI calculations and exports in Trophio are tools to help you organise your records. They are not a guarantee of accuracy, of any tax outcome, or that the Inland Revenue Department or any other authority will accept them. Speak to a qualified professional about your own situation.
8. Acceptable use
Please do not:
- break the law, or use Trophio to record or support unlawful activity;
- upload content you have no right to use, or that is harmful, abusive or infringes someone else's rights;
- copy, reverse engineer, scrape or interfere with the Service, or try to get around its security, limits or billing;
- create accounts or use scans in ways meant to abuse free allowances, trials or referrals;
- use the Service to build a competing product.
9. Our rights in the Service
The Service, including its software, design, text and logos, belongs to Trophio or its licensors and is protected by intellectual property laws. We grant you a personal, non-exclusive, non-transferable, revocable licence to use the App for your own business under these Terms. If you send us feedback or ideas, we may use them without owing you anything.
10. Third-party services
The Service depends on third parties such as the Apple App Store, Google Play and our infrastructure providers. Your use of them is also covered by their terms. We are not responsible for services we do not control.
If you use the App on an Apple device, you and Trophio agree that these Terms are between you and Trophio only, not Apple. Apple has no duty to provide support or maintenance for the App, and is not responsible for claims about it. Apple and its subsidiaries are third-party beneficiaries of these Terms, and may enforce them against you.
11. Ending your use
You can stop using Trophio at any time, and you can delete your account in the App under Settings → Delete Account. Deletion is permanent. Deleting your account does not cancel your subscription, so cancel that separately in the App Store or Google Play first.
We may suspend or close your account if you seriously or repeatedly break these Terms, if we must do so by law, or if your use puts the Service or other users at risk. Where reasonable, we will tell you why and give you a chance to export your data.
12. Changes to the Service
We are always improving Trophio. We may add, change or remove features, and we do not promise the Service will always be available or free of errors. We will try to give notice of major changes that affect you.
13. Disclaimers
To the fullest extent the law permits, the Service is provided "as is" and "as available", without warranties of any kind, whether express or implied, including fitness for a particular purpose, accuracy and non-infringement.
14. Limits on our liability
To the fullest extent the law permits, Trophio is not liable for indirect or consequential loss, or for loss of profit, income, business, goodwill or data, arising from your use of the Service. Our total liability to you for all claims relating to the Service is limited to the greater of the amount you paid us in the 12 months before the claim and HK$500.
Nothing in these Terms limits liability that cannot be limited by law, including liability for fraud, or for death or personal injury caused by negligence.
15. Your responsibility for claims
You agree to cover Trophio for losses arising from a third party's claim that Your Content, or your breach of these Terms, harmed them, to the extent the law permits.
16. Changes to these Terms
We may update these Terms. If a change is significant, we will tell you in the App or by email before it takes effect. If you keep using the Service after the change takes effect, you accept the updated Terms. If you do not agree, you can stop using the Service and delete your account.
17. Governing law and disputes
These Terms are governed by the laws of the Hong Kong Special Administrative Region. Please contact us first at support@trophio.app so we can try to resolve any dispute informally. If we cannot, the courts of Hong Kong have jurisdiction.
18. General
These Terms and the Privacy Policy are the whole agreement between you and Trophio about the Service. If any part is found unenforceable, the rest stays in effect. If we do not enforce a right straight away, that does not mean we give it up. You may not transfer your rights under these Terms without our consent. If there is any difference between the English and the Chinese versions, the English version prevails.
